Special Hands Outreach, LLC is a fully virtual mental health service dedicated to providing high-quality, compassionate care to individuals and families. This policy outlines the key principles and guidelines that govern our operations, ensuring that all employees, contractors, and associates understand and adhere to our standards.

• Remote Work: As a virtual mental health service, all employees of Special Hands Outreach will work remotely. This arrangement allows flexibility and access to a broader range of talent, regardless of geographic location.
• Workspace Requirements: Employees are responsible for maintaining a secure, private, and professional workspace that ensures confidentiality and minimizes disruptions during work hours. This includes having reliable internet access, a suitable work environment, and necessary technology to perform job duties effectively.
• Communication Tools: Special Hands Outreach utilizes various digital communication tools such as video conferencing, secure messaging platforms, and email to facilitate collaboration and maintain clear communication. Employees are expected to be proficient with these tools and responsive during designated work hours.

• Flexible Work Hours: Special Hands Outreach offers flexible work hours to accommodate the diverse needs of our employees. While there are core hours during which employees are expected to be available, we encourage team members to structure their workdays in a way that best suits their personal and professional responsibilities.
• Time Off and Boundaries: Employees are encouraged to take regular breaks and utilize their paid time off to maintain a healthy work-life balance. After-hours communication should be limited to urgent matters only, respecting the personal time of all team members.

• Confidentiality: As a mental health service provider, maintaining client confidentiality is paramount. Employees must adhere to all legal and ethical standards concerning the privacy and protection of client information, following HIPAA and other relevant regulations.
• Professionalism: Despite working in a remote environment, employees are expected to maintain a high level of professionalism in all interactions with clients, colleagues, and external partners. This includes punctuality, respectful communication, and adherence to company guidelines.

At Special Hands Outreach, we understand that mental health conditions can significantly impact daily functioning, work, and quality of life. Requests for disability-related paperwork are taken seriously and handled with care.

To ensure accuracy and ethical care:

• Disability paperwork is not automatic
• Clinicians must have sufficient time and clinical information to complete these forms responsibly 
• Most disability documentation requires 3–6 months of consistent treatment 

This allows your clinician to:

• Fully understand your diagnosis
• Observe symptom patterns over time
• Document how symptoms impact daily functioning
• Provide accurate and ethical recommendations 

If you have been in treatment for less than three months, your clinician may offer a verification of treatment letter instead.

• Regular Check-ins: To ensure ongoing support and connection, regular one-on-one check-ins will be conducted between employees and their supervisors. These meetings provide an opportunity to discuss workload, address any concerns, and provide feedback on work-life balance.

• Technical Support: The company will provide necessary technical support to ensure that employees have the tools and resources needed to perform their duties effectively. Employees should report any technical issues promptly to minimize disruptions.

• Policy Adherence: All employees are expected to adhere to this policy and all other company policies. Failure to comply with these guidelines may result in disciplinary action, up to and including termination.
• Feedback and Improvement: Special Hands Outreach encourages employees to provide feedback on company policies and practices. We are committed to continuous improvement and will regularly review and update policies to reflect the evolving needs of our team and clients.
